Welcome to Roamset.com (“Website”). By utilising this Website, requesting travel planning services, or initiating booking requests with us, you (“Client,” “Traveller,” “User”) agree to be bound by the following Travel Booking Terms and Supplier Disclaimers. Please read them carefully before submitting any travel intake or lead forms.

1. Relationship Disclosure & Agency Structure

Roamset (operated as a proprietary concern) is an independent travel marketing and content platform. All travel advisory, consulting, and booking services are provided by our principal advisor as an Independent Affiliate of Fora Travel, Inc. (“Fora”).

  • Host Agency Fulfilment: Roamset is not a standalone retail travel agency. All operational bookings, payment processing, ticketing, and supplier contracts are fulfilled under Fora Travel, Inc.’s licensing, credentials, and IATA accreditation.
  • Seller of Travel Compliance: Through Fora Travel, Inc., bookings comply with relevant Seller of Travel regulations:
    • California Seller of Travel Reg. No. 2151995-50
    • Florida Seller of Travel Reg. No. ST43973
    • Washington Seller of Travel UBI # 605329242

2. Role as a Booking Agent & Supplier Liability Disclaimer

Roamset and Fora act solely as intermediaries between you and the third-party travel service providers featured on our site or included in your itinerary.

  • Independent Suppliers: All hotels, resorts, tour operators, airlines, and transfer services (including, but not limited to, Hyatt, Accor, Viator, and Expedia TAAP partners) are independent entities. They are not agents, employees, or subcontractors of Roamset or Fora Travel.
  • Limitation of Liability: Roamset and Fora Travel are not responsible or liable for any injury, financial loss, death, property damage, delay, cancellation, schedule change, or inconvenience caused by the acts, omissions, bankruptcy, or default of any third-party supplier. Your legal recourse for service failures lies exclusively with the supplier that provides that service.

3. Preferred Partner Programs & Aggregator Terms

When booking via Roamset through our Fora affiliation, specific supplier ecosystems govern your reservations. By submitting a booking request, you agree to comply with their respective program terms:

A. Luxury Hotel Programs (Hyatt Privé & Accor HÉRA)

  • Rate and Perk Adjustments: Benefits associated with luxury preferred programs (such as complimentary breakfasts, room upgrades, property credits, or early check-in) are subject to specific room category availability and hotel-side confirmation upon check-in. They are never guaranteed by Roamset.
  • Hotel Rules: Bookings made through Hyatt Privé or Accor HÉRA are subject to the specific property’s individual cancellation timelines, deposit policies, and currency fluctuations.

B. Independent Tours & Aggregators (Viator)

  • Operator Rules: Day tours, excursions, and private transfers booked via our customised Viator links are fulfilled by localised, independent tour operators.
  • Cancellations: You are bound strictly by the specific cancellation policy noted on the voucher at the time of booking (e.g., Viator’s standard 24-hour cancellation rule vs. non-refundable exceptions). Roamset cannot override localised operator refund rejections.

C. Wholesale & Third-Party Engines (Expedia TAAP)

  • Inventory Terms: Where specific standalone inventory or custom rates are accessed via the Expedia Travel Agent Affiliate Program (TAAP), bookings are bound strictly by Expedia’s global Terms of Service.
  • Non-Refundable Fares: Many rates provided via aggregator engines are strictly non-refundable and unchangeable. It is the Client’s responsibility to review these constraints prior to authorising card charges.

4. Pricing, Quotes, and Currency Volatility

  • Dynamic Pricing: All travel quotes provided on Roamset.com or via direct proposals are subject to real-time change, availability shifts, and supplier withdrawal until an official deposit or full payment is verified and processed by the supplier.
  • Currency Fluctuations: International bookings are subject to currency conversion rates. Prices quoted in USD, EUR, GBP, or other currencies may fluctuate on your financial statements depending on the processing date utilised by the hotel or merchant bank.

5. Client Responsibility & Travel Insurance Disclaimer

  • Documentation: The Traveller is solely responsible for obtaining and verifying valid passports (valid for at least 6 months past the return date), visas, entry permits, health declarations, and vaccination records required by the destination authorities.
  • Travel Insurance Recommendation: Roamset and Fora Travel strongly recommend purchasing comprehensive travel protection/insurance. Travel insurance can safeguard your financial investment against unforeseen cancellations, medical emergencies, flight interruptions, lost baggage, or supplier insolvency. If you decline travel insurance, you acknowledge that you assume full financial responsibility for any penalties, forfeitures, or losses incurred due to trip alterations or cancellations.

6. Modifications and Changes

We reserve the right to alter, update, or modify these Booking Terms at any time without prior notice. Continued use of Roamset.com and our travel planning services following any changes constitutes absolute acceptance of the revised terms.
